through employment, skills training, and advocacy. We are seeking a
Advocacy Administrative Assistant
to support our Paralegals as they assist clients in dealing with ODSP process and hearings.
Position Overview:
The Advocacy Administrative Assistant provides full support as liaison between the Paralegal(s) and clients, serving as gatekeeper and scheduler to allow them to focus on the preparation of cases.
Key Responsibilities:
Manage schedules, calendars and appointments for the department.
Answer phones and provide initial direction, instruction and answers to general questions. Take messages and pass along as needed.
When requested, screen emails and escalate appropriately.
Prepare and print all appropriate and necessary paperwork prior to appointments and have ready for intake, depending on nature of appointment.
Fax, email or mail medical requests and receive confirmation of receipt.
Receive and print all faxes and mail from medical offices, clients and the courts and distribute as necessary.
Compile and upload medical records.
Input data and materials into the Clio software system.
Assist clients with RGI, OAS and Disability Tax Credit applications.
Set up pre-hearing dates as appropriate upon receipt of notice of hearing. Alert Paralegal(s) and clients by email, text, or letter as appropriate.
Skills and Experience Required:
Diploma in Legal Administrative or Law Clerk Studies
1-2 years administrative experience in a professional office environment
High levels of organization, attention to detail, and accuracy
Strong customer service orientation
Advanced skills in Microsoft Office Suite
Ability to quickly learn and adapt to new database systems
Experience with Clio legal software an asset
