Job Description

Basic Function:

This position will be responsible for the scheduling of maintenance services and repairs for the County Garage. In addition, this position will be responsible for the purchase and timely arrival of all parts or components for fleet repairs and maintenance.

Position Description:

  • Assist the Fleet Services Supervisor with the organization and maintenance of an orderly, efficient stock facility.
  • Maintain fleet databases including updating, creating and editing reports and minor customization of the various programs when appropriate.
  • Ensure required documents are added to digital work orders (Safety Certificates, Preventive Maintenance Service inspections, etc.).
  • Main contact for service and material requests for Norfolk County Garage.
  • Use Fault reports to determine service requirements for Norfolk County fleet and create work orders for technicians.  
  • Schedule work into the County Garage for technicians, ensuring work is completed in order of priority.
  • Assist Garage Foreperson and Supervisor with the distribution of work orders to Technicians to ensure equitable workload in the County Garage.
  • Schedule external repairs and services, such as tires, alignments, spring work, bodywork and warranty.
  • Purchase and maintain adequate inventory of parts, components, materials.
  • Source specialty parts for all County units, including Fire and EMS vehicles.
  • Track high usage parts and ensure sufficient availability.
  • Distribute supplies (e.g., absorb-all) to applicable departments, as required.
  • Assist in unloading and storing materials (including hazardous materials).
  • Perform light building housekeeping and grounds maintenance duties.
  • Research market for the procurement of material for stock and non-stock items based on quotes received.
  • Update and maintain WHMIS inventory system for the Fleet Department.
  • Create and obtain quotes and present to Supervisor regarding repairs, to analysis unit life cycles and to determine the best solution for repairs
  • Organize tows for County Vehicles as needed.
  • Pick up and delivery of units for service between yards and vendors as required.
  • Complete all required paperwork and reports including work orders, daily logbooks, and other documentation required by the Ministry of Transportation.
  • Maintain inventory and schedule repair and preventative maintenance of large shop tools, hoists, radios and other equipment.
  • Assist in the development of various maintenance schedules.
  • Refuel vehicles and equipment as required at County Fuel sites.
  • Ensure all Health and Safety policies and procedures are followed.
  • Perform other duties as assigned.

Requirements

Knowledge and Experience:

  • Grade 12 plus a minimum two-year diploma or degree relative to the area of responsibility (Inventory Management, Automotive parts and Service, Motive Power, etc.) or equivalent.
  • Minimum of 3 years related experience (preferably in a fleet maintenance or dealership environment)
  • Current Skilled Trades Ontario Certificate of Qualifications and certifications considered an asset:
    • Truck and Coach Technician (310T)
    • Automotive Service Technician (310S)
    • Heavy Equipment Technician (421A)
    • Emergency Vehicle Technician (EVT)
  • G Class license mandatory
  • Valid DZ or AZ driver’s license is considered an asset

Skills and Abilities:

  • Strong time management and organizational skills.
  • Must be able to respond immediately to emergency situations, as required, such as winter control and related situations.
  • Computer expertise in corporate standard software (Microsoft Office) and department specific software to data search and entry and to create and modify documents.
  • Ability to creatively find solutions to solve sourcing/supply issues.
  • Purchasing authority as required according to Policy #’s EBS-02 and EBS-06.
  • Must be aware of safe work practices as they relate to job responsibilities and work environment, and have the basic understanding of the Occupational Health and Safety Act (OHSA)
