Prime Management Group Inc. is pleased to be partnering with Goodwill in the search for a highly motivated, qualified and experienced Executive Administrator to join Goodwill’s rapidly expanding and dynamic team.  Reporting into the President/CEO, the Executive Administrator will provide effective, collaborative, and comprehensive support to the President/CEO, and the senior leadership team. This forward-thinking professional, and leader within their own area of influence, will efficiently manage the President/CEO's calendar, expertly scheduling and prioritizing daily tasks, while also coordinating with stakeholders to ensure all engagements align with Goodwill’s business priorities. Furthermore, the Administrator will maintain a strong understanding of Goodwill's governance structure, including accountability practices, reporting processes, and structures, focusing on monitoring and addressing requirements listed in the annual Strategic Cycle and the Governance Policy Checklist.
As part of this exciting, fast paced role, the successful candidate will update with the CEO regularly, anticipating their leader’s needs in advance, while building responses and plans as needed to ensure critical and time sensitive projects/tasks are being managed with a high level of quality.  Additionally, the Executive Administrator will oversee all relevant communications and promptly respond to inquiries both professionally and courteously, while also handling all aspects of domestic and international travel arrangements for the leadership team.
Finally, the Executive Administrator will maintain effective communications with Goodwill’s Board of Directors and proactively manage any requests and administration that are required.  Additionally, the Executive Administrator will be responsible for organizing all Board events, including retreats, which entails preparing meeting agendas, presentations, and documents in advance of meetings, attending meetings to take accurate minutes, and ensuring timely follow-up on action items to align with the organization's objectives.
 To excel in this role, the Executive Administrator should possess the following:
  • Post-secondary education in office administration, business, or a related field is required.
  • A minimum of 5 years of proven experience as an Executive Administrator supporting C-level executives or senior leadership teams.
  • A strong understanding of non-profit board governance practices and principles is crucial to effectively support the executive leadership team, the boards, committees, and task forces.
  • Passion for working in the non-profit sector and making a difference in the lives of others.
  • A high degree of technical know-how; digital skills and aptitude to leverage modern and
collaborative platforms.
  • Exceptional time management, interpersonal and organizational skills.
  • Project Management education or training is an asset.
  • In-depth understanding of the entire Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Sharepoint, Intranet, PowerBI).
