Job Description: 

In this combined position of Resource and Information Assistant / Administrative Support, you will be the initial point of contact for clients and community partners of Community Employment Choices services.  This position will be responsible for the overall area for Resource and Information.  The individual will provide administrative support to the Employment Services Team, both Strathroy based, itinerant sites and via virtual methods. 

As a member of the team, the combined position will be responsible for and require, but not limited to, the following:

  • Client Interaction and Support: Provide first point of contact duties including greeting clients in person, over the phone and by email; effectively explain services offered to new clients and provide reminders and encouragement to returning clients of the services offered. Determine the needs of clients and make appropriate decisions about next steps, including booking appointments with Employment Advisors, recommending workshops, and referring to community partners as needed.
  • Communication and Protocol: Effectively communicate to visitors all protocol and procedures related to access of the organization’s services. Direct, encourage, and support CEC clients and visitors through direct communication.
  • Administrative Duties: Using Microsoft Outlook, maintain and enter scheduled appointments for staff and workshops. Liaise with staff and actively participate in staff/team meetings, including minute taking and recording. Monitor the client employment resource area, providing information and assistance including computer support and job board recommendations, both in person and virtually. Maintain an effective, organized and current job board in the Resource and Information area. Responsible for printing, photocopying and mailing. Monitor facility maintenance, security, cleanliness and organization of the reception and resource areas. Accurately record and maintain Resource area usage.
  • Reporting and Coordination: Provide daily updates to Social Assistance regarding referrals, status of clients. Maintain proper and accurate recording of all referrals including maintaining spreadsheets and other forms of documentation.
  • Job Posting and Website Support: Support Job Developers by maintaining the Community Employment Choices and Work in Middlesex websites. Manually enter employer job postings as they become available from Job Developers, as well as approve postings placed directly by employers. Promote and highlight diverse range of features and resources available on websites including career development resources and employer job postings which provide valuable support and opportunities for job seekers and employers alike.
  • Resource Management: Ensure current Resource and Information area material is well-stocked, current and relevant.
  • Other duties as assigned.

Skills and Knowledge:

  • Communication Skills: Strong and effective communication skills. Ability to remain calm and professional in a dynamic and changing workplace.

  • Detail and Task Orientation: Demonstrated self-management and time-management skills with a keen eye for detail. Ability to prioritize and multi-task effectively in a fast paced, dynamic and evolving environment.
  • Technical Proficiency: Advanced knowledge of Microsoft Office Suites and strong digital skills to navigate multiple technology platforms and adapt to evolving technologies.
  • Labour Market and Employment Knowledge: Knowledge and understanding of current labour market trends, employment support services, employment-related websites, and adult learning approaches.
  • Post-secondary Training: Post-secondary training in Administration and a Social Service background would be an asset.
  • Organizational Skills and Support: Excellent organizational skills and a strong understanding of office functions. The ideal candidate embraces being in a supporting role and demonstrates a deep commitment to prioritizing the needs of staff and clients, understanding that the role’s core function is to provide essential support that enhances the success and satisfaction of others. Must have excellent keyboard skills.
  • Problem Solving: Must be an excellent problem solver and be able to think “outside of the box”.
  • Customer Service: Maintain the highest standards of customer service with a strong knowledge of Middlesex County geography and surrounding areas.
