Position summary

The project assistant is a trusted and vital support within the Stallergenes Greer Canada team, working diligently to ensure that office operations meet a high standard.
 
As a jack-of-all-trades, the project assistant applies a sharp mind to a variety of situations. The project assistant works with a high degree of independence to meet multiple deadlines. The project assistant handles regular finance and reporting responsibilities, along with meeting planning and event management and other administrative functions as required. Often serving as the first point of contact for clients, the project assistant displays a consistently professional and helpful manner. The project assistant will also take responsibility for project work as assigned, with potential room to grow depending on interests, experience and capacity.
 

Responsibilities

Office administration
  • Serves as a point of contact for company: answers the phone, responds to inquiries, and monitors the voice mailbox
  • Ensures filing systems are maintained and current
  • Maintains efficient and organized office:
    • Initiates and follows up on schedule for office maintenance projects
    • Manages office supply inventory and budget
    • Manages relationships with building management and office maintenance vendors
  • Assists with off-site errands: mailing packages, purchasing office supplies, etc.
 
Finance and reporting
  • Manages accounts payable 
  • Provides monthly financial reporting
  • Prepares regular distribution and wholesaler reports
  • Manages expense reporting
  • Manages and tracks approved grants and sponsorship requests
 
Meetings and event management
  • Facilitates meetings and event logistics
  • Prepares pre-conference briefings
  • Prepares and distributes agendas, presentations and other materials
  • Takes meeting notes and provides follow-up communication to make sure takeaways are completed
  • Works with external travel agent to manage travel arrangements
 
Project work
Provides support on special projects as needed.
 

Qualifications

  • Bachelor’s degree in business administration, marketing or equivalent
  • At least three to five years of related experience
  • Excellent verbal and written communication skills
  • Strong interpersonal and client service skills: able to handle enquiries and resolve issues in a professional and timely manner
  • Committed to excellence and continuous improvement
  • Possesses a strong sense of accountability and initiative
  • Has proven skills in time management, accuracy and attention to detail
  • Ability to competently carry out assignments without direct supervision: coordinating multiple tasks while maintaining accuracy, meeting deadlines and ensuring all details are handled
  • Competent in Word, Excel and PowerPoint, plus an aptitude to learn new technologies
  • Other nice-to-have skills: web development, graphic design, copywriting, copyediting, project management, human resources, accounting, database management
  • Bilingual preferred (French, English)

Working conditions

This is a six-month, full-time contract position. The ideal candidate will be able to travel occasionally (minimal travel required).
