Job Description

We are currently recruiting for a temporary, full-time (37.5 hours per week) Administrative Assistant in the Early Childhood, School Age and Adolescent Program. The designated office for this position is London with weekly travel to other TVCC locations (St Thomas and Strathroy). This 3-month contract position is expected to begin in June 2024 and end in August 2024.

Responsibilities:

  • Provide administrative support to the Early Childhood, School-Age and Adolescent Program (ECSAAP);
  • Assist with the organization of meetings & program events (may include minute taking, scheduling, room bookings, sending Outlook appointments, etc.);
  • Create and/or brand clinical and office resources, documents and materials;
  • Receive phone calls from families, partner organizations, other TVCC staff, etc., and redirect inquiries as necessary;
  • Assist with scheduling appointments (e.g., treatment sessions, groups, etc.), including interpretation services, as well as cancellations;
  • Maintain current, accurate client information including inputting and updating appropriate information in the Client Information System;
  • Run program reports from Client Information System (e.g., for billing; program management, Ministry and Children’s Health Foundation reporting);
  • General filing, mailing/secure emailing reports, and other administrative duties as required;
  • Act as a Client Information System and overall computer software support for team;
  • Work collaboratively with other ECSAAP Administrative Assistants and provide back-up support and coverage as needed. 

Qualifications:

  • College diploma specializing in office administration;
  • Strong customer and family-centred care focus;
  • An ability to be flexible and dynamic and to prioritize and meet deadlines while balancing a number of tasks and being detail oriented;
  • Highly developed interpersonal, communication and organizational skills;
  • Proficiency in minute taking;
  • Strong typing skills and excellent computer skills including proficiency in Word, Excel, PowerPoint, Sync, Canva, and Access, as well as videoconferencing software (e.g., Teams);
  • An ability to troubleshoot with other team members software and hardware issues;
  • Strong ability to work effectively in a team environment;
  • Proficiency in French would be considered an asset.
Hourly rate: $26.82
